1. DEFINITIONS

“Club” means the Aspley Memorial Bowls Club Inc

“AMBC INC” means Aspley Memorial Bowls Club Inc.

“MC” means the Management Committee who are the members for the time being of the Management Committee of the Club as constituted in accordance with the rules and by-laws of the AMBC INC and is the controlling body of the Club subject only to any direction of members at a General Meeting.

“MD” means Men’s Division of the Aspley Memorial Bowls Club Inc.

“MDC” means Men’s Division Committee of the Men’s Division of the Aspley Memorial Bowls Club Inc.

2. GENERAL

The Men’s Division of the Aspley Memorial Bowls Club Inc. shall abide by the Rules and By-laws of the Aspley Memorial Bowls Club Inc. and by the following By-laws specific to the Men’s Division.

3. MEN’S DIVISION COMMITTEE

The business and affairs of the MD shall be managed by the MDC which shall be elected within 2 weeks of the Annual General Meeting of the Club.

The Men’s Division Committee shall consist of a President, Secretary, Treasurer, Selectors Coordinator (elected by the Selectors), Competition Games Coordinator, Social Games Coordinator and Coaching Coordinator who shall be elected in accordance with the AMBC rules and by-laws.

After election, the MDC shall elect a Vice President from one of the elected members above.

In addition to the above Committee Members, five Selectors shall also be elected at the Annual General Meeting. These Selectors shall elect a Selectors Coordinator who shall be a member of the MDC.

The MDC shall meet at least monthly.

4. DUTIES OF OFFICE BEARERS

The general duties of the President, Secretary and Treasurer of the Men’s Division Committee are as defined in the AMBC by-laws and the detailed duties of these positions and the other members of the MDC are as follows:

PATRON

  • Be an ex‑officio member of the Men’s Division Committee but with no voting rights.

PRESIDENT

  • Presiding over Division Committee meetings
  • See that the Rules of the Club are fully adhered to by all and generally see that members are properly accommodated
  • Attend to the carrying out of the decisions of the Club and Men’s Division
  • Maintain contact with bowlers who haven’t bowled for some time
  • Advise the Management Committee of any illness or death of members
  • Be an ex‑officio member of any Men’s Division sub-committee of which he is not already a member.
  • Be a member of the Management Committee
  • Liaise with Ladies Division President and Club Chairperson

SECRETARY

  • General correspondence
  • Announcement sheets
  • Reporting to BNDBA and BQ
  • Agenda and Minutes of meetings
  • Liaise with Ladies Division Secretary and Club Secretary
  • Reporting to Division Committee meeting
  • Display notices on the notice board
  • Games flyers and nomination sheets
  • Coordinate representation at monthly meetings of the Brisbane North District Bowls Association Council. The representative shall vote thereat as instructed by the Division Committee and report fully to the Division Committee at each monthly meeting on the proceedings of the Brisbane North District Bowls Association.
  • Organise teams for other clubs’ Patron’s and Presidents at Home Days and similar events
  • Preparation of yearly program in conjunction with Men’s Division Committee, Ladies Division and Management Committee
  • Assisting the MC Secretary as required in membership processing
  • In conjunction with the MC Secretary, arrange membership drives and social events e.g. new members get together etc

TREASURER

  • Assist the President as required
  • Collect annual subs
  • Coordination of collection and transfer of all funds accumulated from the Men’s Division’s activities including nomination fees for games, green fees and any other revenue incidental to bowling events
  • Organise raffles and schooner club
  • In conjunction with the MC Sponsorship Coordinator, arrange event sponsorships and donations
  • Reporting to Division Committee meeting and Division Annual General Meeting

COMPETITION GAMES COORDINATOR

  • Organisation of all Men’s Division championship games
  • Plan, organise and supervise the playing of such competitions, record all results and complete returns in respect thereof
  • See that the Laws of the Game and the conditions of competitions are adhered to in association with and through the umpire
  • Adjudicate and if necessary rule on any referred dispute about a marker for any singles competition
  • Arrange for an umpire for games under their control and appoint markers for all singles games
  • Prepare or arrange for the preparation of cards for all games
  • Be responsible for the collection of green fees and nomination fees applicable to Men’s Division competition games  being played (except games organized by selectors), and remit to the treasurer or representative before the conclusion of the day’s play
  • Determine the meal requirements of the bowls division as required and advise the club manager in advance
  • Liaise with Ladies Division for mixed events
  • Represent umpires and measurers on Division Committee
  • Arrange for faxing of results to newspapers
  • Reporting to Division Committee meeting

SOCIAL GAMES COORDINATOR

  • Coordinate regular and special social games including rosters where necessary
  • Bring a friend days
  • Promotion of barefoot bowls and rosters for barefoot bowls
  • Liaise with Club Manager re catering
  • Liaise with Ladies Division for mixed games
  • Junior events, school sports day training, All Schools Challenge
  • Reporting to Division Committee meeting

SELECTORS COORDINATOR

  • Select teams for pennant matches, interclub games and, where required, social play;
  • Arrange the rinks for play;
  • Select individuals, teams and sides for any representative games;
  • Keep records of games played (if applicable)
  • Forward results of all DBA games to the relevant association, as required.
  • Selection of teams Saturday social play and for other club‑select games
  • Collect nomination fees for games described in above
  • Determine the meal requirements of the bowls division as required and advise the club manager in advance
  • Liaise with Ladies Division for mixed games
  • Reporting to Division Committee meeting

COACHING COORDINATOR

  • Possess a current accreditation with Bowls Australia.
  • Plan, organise and conduct coaching lessons
  • Arrange coaching seminars and competitive coaching.
  • Arrange coaching of new members
  • Reporting to Division Committee meetings

The elected Committee may reallocate these duties to suit individual requirement of the Committee Members but all the duties shall be allocated. (In particular, there shall always be a BNDBA Representative).

The members of the Men’s Division shall be advised of reallocation of duties by placement on the notice board and the MC and Ladies Division shall also be advised.

If all positions of the MDC are not filled at the Annual General Meeting of the MD, the duties allocated to the vacant position shall be allocated to the other elected members.

5. COMMITTEES

The President shall be an “ex officio” member of all sub committees of the Men’s Division other than the Selection Committee, in addition to the specified number of members of the several Sub committees.

All sub committees appointed by the Division Committee shall submit a report to the MDC at each monthly meeting of the MDC.

6. PATRON

The Men’s Division shall elect a Patron who need not be a member of an affiliated Club, and shall be appointed at the Annual General Meeting on the recommendation of the outgoing MDC

7. COMPETITIONS

All competitions and other matches conducted by the Men’s Division shall be played in accordance with Laws of the Sport of Bowls, Crystal Mark Edition, including domestic regulations for Australia and in accordance with such conditions as laid down by the MDC in the document “Conditions of Play for Championship Events”. This document shall be produced by the MDC and will be amended as required by the MDC, provided such conditions shall not conflict with the Laws of the Sport of Bowls, Crystal Mark Edition, including domestic regulations for Australia and laws specified by Bowls Australia. Applications to conduct a registered or licensed event are to be made to the Brisbane North District Bowls Association on the prescribed form

8.NOTICEBOARD AND GAMES NOMINATION SHEETS

A notice board, upon which all notices shall be posted, shall be placed in a conspicuous position in the clubhouse. If any notice has been posted for the prescribed time, the fact that the notice has not reached a member shall not invalidate the proceedings.

Members will notify their wish to play Social games events by placing their names on the relevant sheets or in such a manner as the Committee may decide.

9. COMPETITION TROPHIES AND PENNANT BADGES

  • All trophies will be awarded after consultation with the AMBC Management Committee at the beginning of the year
  • To receive a Pennant Badge, a player should have played sufficient games in the relevant division to have been eligible to play in the final of that division and or played in the final.

10. PROCEDURES AND GUIDELINES

The MDC shall produce a Procedures and Guidelines Manual consisting of relevant Forms, Procedures and Guidelines and other necessary instructions, for the efficient running of the Men’s Division. These shall be added to and amended as required by the Men’s Division Committee
